What is an invoice line?
An invoice line is an individual line on your invoice on which you list a product or service. Think of a description, a quantity, a unit price and the total amount. Each line forms a separate item on your invoice, so that it is immediately clear to your customer what exactly you are charging.
You can add, supplement or group one or more invoice lines with a subheading. This way you maintain an overview, even with longer invoices.
Thanks to the use of a Product list and the fact that OkiOki remembers and suggests previously entered descriptions, you don’t have to re-enter your lines every time. Just start typing in the code or description field. You will immediately get a menu where you can select the right product – with all fields already filled in.
Additional options
To the right of each invoice line you will see three dots. Click on them for additional options. For example, you can:
- add a discount,
- duplicate a line,
- insert a line above or below,
- insert a subheading above or below,
- or delete an invoice line.
Add a discount
Do you want to give a discount? No problem, you can do that per invoice line. The discount applies to that line, not to your entire invoice.
Simply click on the three dots next to each invoice line, choose the % icon and enter your discount.
Save a product or service for later
Do you want to reuse a line later? Then check the green box, all the way to the right of the line. As soon as you go to the next step in the invoicing module, OkiOki will save these lines in your product list. You don't have to fill in the line again for the next invoice.
Subheadings
Do you want to keep your invoice clear? Then use subheadings to visually group multiple products. Click on the yellow button to add a subheading.
Show or hide fields
Do you perhaps not work with product codes, units or a date per invoice line?
Then you can easily choose which fields you want to show or hide via the 'Fields' button. This way you keep the overview, in your own way.
Turn a quote into an invoice or credit an existing invoice
Did you know that you can easily convert an existing quotation into an invoice? Or reuse an existing invoice as a quotation for a new customer? Even creating a credit note is done in no time.
Turn a quote into an invoice:
- Go to the Quotes tab.
- Click the three dots to the right of the line.
- Choose Create invoice.
Make a quote, credit note, or copy from an invoice:
- Go to the Sales invoices tab.
- Click the three dots to the right of the line.
- Choose Create quote, Create credit note, or Duplicate invoice.
