Document Management
🗑️ The Recycle Bin for your documents
Nothing is more annoying than accidentally deleting an important document. To give you more peace of mind when cleaning up your administration, we introduce the Recycle Bin.
From now on, deleted documents are no longer immediately permanently erased but are first moved to the recycle bin.
Restore documents within 30 days: Did you accidentally delete an invoice or receipt? Don’t panic. You now have 30 days to restore documents from the recycle bin back to your archive. OkiOki ensures that all data and links are correctly reactivated upon restoration.
Permanent deletion: Do you want to delete a document immediately and permanently for privacy reasons or due to sensitive information? Then you can manually empty the recycle bin or select specific items to immediately and permanently remove them from our systems.
Exceptions: Please note, certain documents such as bank statements, final sales invoices, or drafts are not moved to the recycle bin; delete these only if you are 100% sure, as you cannot restore them.
Where do I find the recycle bin?
You can find the recycle bin (recognizable by the trash can icon) at the bottom of the navigation menu under your documents. Here you can easily search, filter, and choose whether to restore or permanently delete items.
Invoicing
📄 New possibilities for your Invoice Layout
We have greatly expanded our invoicing settings. From now on, you have even more freedom to fully customize your sales invoices, credit notes, and quotes to make a professional impression on your customers.
Personal introduction and footer text:
Introduction text: You can now add a personal greeting or a short explanation to your invoices, credit notes, or quotes.
Fixed footer text: You can now set an informative footer text that appears at the bottom of every page of your outgoing invoices. Ideal for legal notices or general contact details.
Smart suggestions: Do you use a column layout? OkiOki now automatically suggests a standard footer text so you can get started even faster.
Flexible payment banner: You now decide where the payment banner appears on your invoice. You can show it at the top, bottom, or not at all for a cleaner look.
Manage your header: You decide which company details are shown in the header of your invoice. This way, you choose which contact or legal information is most relevant to your customers.
Show product codes: For entrepreneurs working with specific article numbers, there is now the option to display your product codes directly on the invoice lines.
How do you adjust this?
Go to Settings > Invoicing Settings. There you will find all the new options to enter your texts, change the banner position, and manage the display of your company details and product codes.
Accountants Portal
💼 Streamlined subscription management for accountants
We have significantly simplified and made more transparent the conversion of subscriptions paid by the accountant to subscriptions paid by the entrepreneur themselves.
Clear overview of 'Mixed Plans': Accountants working with a mix of payment models now have a clear overview in their client list. You can see at a glance which files are handled via the office and for which files the entrepreneur receives invoicing directly from OkiOki.
Smooth transfer: The process to transfer the payment of a subscription from the accountant to the entrepreneur (or vice versa) is now fully streamlined. This reduces administrative hassle and follow-up when changing the cooperation form or the package of your client.
Improved status display: In the list of active clients, the payment status is now explicitly visible, allowing you as an accountant to always maintain full control over the license costs within your client portfolio.

🔧 Improvements & Fixes
Improved Peppol settings: Setting a custom Peppol identification such as GLN or DUNS for your contacts is now easier thanks to a renewed, user-friendly interface. Moreover, you can now specifically select the 9925 schema for contacts.
Payment via QR codes: For users with a Light subscription, we now always show the QR code on the invoice, regardless of the booking status. This way, you can quickly and correctly pay it at any time.
Sending reminders in Light subscriptions: It is now also possible for entrepreneurs with a Light subscription to send payment reminders to their customers.
Clear product selection: The display of products in the selection list during product suggestions when creating an invoice has been improved. This allows you to select the correct product faster and more accurately.
Croatian VAT numbers: You can now add contacts with a Croatian VAT number to your administration without any problems.
Simpler Microsoft email linking: We have clarified the process to connect your Hotmail, Live, or Outlook.com account. You now immediately see the correct option to securely link your Microsoft mailbox to OkiOki.
Faster synchronization for accountants: When your accountant manually sends documents, these are now processed with the highest priority so they are immediately available.
