We have completely renewed the underlying technology that generates PDFs for invoices and credit notes. In this release, you already notice that in things like page numbering, free text between line items and the buyer reference. This also forms the basis for additional features we want to add in the coming months.
This release makes invoicing and document processing more user‑friendly and more robust. You get more flexibility in your invoices (extra text with formatting between line items, page numbering on PDFs, buyer reference for Peppol/UBL) and you can fine‑tune your e‑mails better with multiple BCC addresses.
New scans are automatically improved (deskewing + cropping), with the option to always switch back to the original. Documents with a perfectly matching payment are also no longer incorrectly shown as “unpaid”.
Accountants
For accountants, the main gains are in reliability and security: more consistent Peppol status behaviour, more stable processing thanks to better monitoring of background tasks, and additional security layers that help prevent unsafe files and abuse.
1. Key features
Text between line items with basic formatting
The text element between line items is now a free text block with basic formatting: bold, italic and underline. This lets you add more context, terms or explanations than just headings. Line breaks are preserved in both the preview and the PDF. You can apply formatting via the buttons in the editor or with shortcuts such as Ctrl/Cmd + B (bold), Ctrl/Cmd + I (italic) and Ctrl/Cmd + U (underline).
Enhanced scans: automatic crop, with option to revert to original
For each new scan, the image is automatically straightened and cropped so that only the relevant content remains visible. Skew and excess borders are removed. If you are not happy with the automatic crop, you can switch back to the original scan with a single toggle. This setting is saved per document so that your preference is preserved every time you reopen it. See also FAQ 4.2.
Mark to‑dos as “Paid by credit card” (also in bulk)
In the to‑do list you can now mark a document as Paid by credit card via the overflow menu. You can also select multiple to‑dos at once and mark them in bulk as “Paid by credit card”. OkiOki keeps these documents until your next credit card statement and then sends them to your accountant (if you are linked to an accountant). See also FAQ 4.6.
Thank‑you messages after payment can be disabled or customised
The automatic “thank you” messages after payment are now more flexible:
- you can switch them off completely if you do not want to use them;
- you can customise the text instead of only choosing from fixed presets.
Page numbering in PDFs
PDF files now show page numbering in the format current/total, where each page displays both its own page number and the total number of pages. This is especially useful for long invoices because it quickly gives the recipient an overview of the pagination.
2. Document management & invoicing
“Unpaid” list and totals are more accurate
If a bank transaction is linked to the document and the amounts match exactly, bringing the balance to zero, the document is treated as paid. This also applies if the accounting entry is not fully completed yet. As a result, the “Unpaid” status is more accurate and the totals better reflect reality. See also FAQ 4.1.
Buyer reference included where needed
The buyer reference is shown on the PDF, specifically under the order reference. When the field is filled in, this reference is also correctly included and sent in the UBL file.
Multiple BCC addresses: fewer hassles when sending
You can add multiple addresses by separating them with a comma (,) or a semicolon (;). You can even mix both separators. The system automatically checks for invalid addresses and prevents duplicate addresses from being entered.
Page numbering in the PDF footer for clearer follow‑up
This feature helps you manage invoices with multiple pages. For single‑page invoices, 1/1 is displayed; for multi‑page invoices, each page shows the correct page number.
Peppol: clearer status thanks to acknowledgement
After receiving a Peppol message, we always send an acknowledgement back to the sender. In the sender’s Peppol environment it is therefore visible that OkiOki has picked up and processed the message, without the need for separate follow‑up communication. See also FAQ 4.3.
Sending via Peppol is now even more reliable
We have technically upgraded the Peppol connector to make sending and receiving messages more stable. In practice, this means fewer failed send attempts and fewer incidents when processing Peppol messages.
Buyer reference on invoices & credit notes
You can now add a buyer reference in addition to your order reference. This helps when your customer uses a specific reference in their internal processes. The buyer reference appears automatically on PDFs and in UBL files, which simplifies communication and administration. For more context, see FAQ 4.4.
Multiple BCC addresses in e‑mail templates
In the BCC field of your e‑mail you can enter multiple addresses separated by a comma or a semicolon. This lets you send invoices to several recipients at once, without them seeing each other’s e‑mail addresses.
3. Performance and optimisation
Faster resolution when processing is delayed
We can now more accurately identify which background tasks are slowing down or blocking processing. This allows us to isolate the cause of incidents more quickly and apply targeted corrective actions. As a result, waiting times for processing documents and Peppol messages are reduced.
3.1 OkiOki app
Enhanced ↔︎ Original toggle for scans
For each document, you can choose between the enhanced scan and the original file. This choice is saved immediately so you do not have to reselect it each time. It also determines which version of the document you see in the list and in the preview. See also FAQ 4.2.
3.2 Miscellaneous
Secure PDF preview (extra protection against scripts)
PDF files can contain scripts that may harm your computer or network. That is why OkiOki does not execute any scripts in preview mode. You can safely view PDFs in OkiOki without running active content.
Safer processing of SVG files
When uploading and synchronising SVG files, they are cleaned to remove scripts or other unwanted code. Suspicious content therefore does not end up in OkiOki or in connected systems.
3.3 OkiOki for accountants
All attachments included in the UBL sent to your accounting package
When OkiOki sends a UBL to your accounting package, it now includes all attachments linked to the invoice: the original UBL and any additional documents (for example extra PDFs or supporting documents). In the accounting package these documents now appear together with the proposed posting, instead of only the invoice being visible.
4. FAQ
FAQ 4.1 – My document has disappeared from “Unpaid”. Why?
If a bank transaction is linked to the document and the amounts match exactly (balance 0), OkiOki considers the document paid. It then disappears from the “Unpaid” list, even if the accounting entry is not yet fully completed.
FAQ 4.2 – What if the automatic crop of a scan is not correct?
For new scans, OkiOki shows the improved Enhanced version by default: straightened and cropped around the relevant content. Using the Enhanced ↔ Original toggle in the document detail view, you can switch back to the original version. Your choice is saved and determines which version you will see later.
FAQ 4.3 – Do I need to change anything for Peppol because of this release?
No. You do not need to change anything yourself. After processing a Peppol message, OkiOki automatically sends an acknowledgement back to the sender. In the sender’s Peppol environment it is therefore visible that the message has been received and processed.
FAQ 4.4 – What is the difference between order reference and buyer reference?
The order reference typically refers to the order itself, for example a purchase order (PO) number or internal order number. You use it to link the invoice to a specific purchase or order.
The buyer reference is an additional internal reference on the customer’s side. You use it to indicate for whom or for what the invoice is intended internally, for example:
- cost centre or department;
- project code;
- name or ID of the requester;
- an internal routing or approval code.
In OkiOki, the buyer reference appears on the PDF and is also included in the UBL. If you leave the field empty, behaviour remains the same as before.
FAQ 4.5 – Do I need to activate anything to benefit from this release?
No. All changes in this release are enabled by default. You benefit from them as soon as you scan new documents, create invoices or receive Peppol messages. Only fields such as the buyer reference need to be filled in manually when you want to use them.
FAQ 4.6 – What happens to documents I mark as “Paid by credit card”?
Documents that you mark in the to‑do list as Paid by credit card do not remain in “Unpaid”. OkiOki keeps them until your next credit card statement is available and then links them to the corresponding payment. If you are linked to an accountant, those documents are also sent to your accountant together with that statement. For bulk selection, the behaviour is the same, but applied to multiple documents at once.
