When OkiOki can match transactions and documents, they come together on the booking detail. In this detail you can see the transaction with the corresponding document. You can also click through to see the full document or the transaction details.
Combine multiple documents and transactions
In the booking detail you can combine several documents and transactions. You can do so by clicking '+ Add' next to 'Documents' and 'Transactions' on the booking detail, depending on what you wish to add. This way you can add multiple documents to one transaction, add multiple transactions to one document or combine multiple transactions and multiple documents.
Missing documents or transactions
For all documents and all transactions, OkiOki calculates totals.
If OkiOki thinks another document or transaction is missing from a booking, because the document totals and transaction totals do not match, then she indicates this with a message at the top of the entry.
Tags & comments
Finally, it is also useful to make use of the tags and comments that you can add to each booking detail.
- Tags are more likely to be used when it comes to a piece of information that you want to reuse on a regular basis, i.e. that you want to assign to multiple bookings. For example, a tag 'Personal tax'.
- Comments are more likely to be used for a one-off piece of information. This can also be an instruction for your accountant, for example. For example, 'A credit note will follow for this invoice'.
The tags can be used to structure your archive, both for you and your accountant. For example, you can gather all your invoices from one project under the same project tag. Or you can collect all expenses of one colleague by giving them the same tag. This way, you can easily create an expense report for that colleague.
As mentioned before, you can add tags to each individual booking detail. If you want to tag several bookings at the same time, you can do that through the archive. There you select the desired bookings (transactions or documents) and give them the corresponding tag.
These tags are also useful to look up documents and transactions in your archive afterwards. You can use the search function to call up all the bookings belonging to one tag. If you select them (using the checkbox in the top left corner), you can also download or delete them all at once.
